Compass does accept patients claiming their out-of-network benefits which means that we do not bill insurance companies directly. Your counseling services may be eligible for reimbursement through out-of-network benefits, medical spending or health care savings accounts. Health insurance plans and benefits vary. If you are interested in using your health insurance to see one of our therapists, please call your insurance provider to inquire about reimbursement for out-of-network counseling services. (See below for questions to ask your insurance company). Compass will provide you with a emailed superbill at the end of each session which you must submit to your insurance company for out-of-network coverage/reimbursement.

If you would like to investigate the possibility of reimbursement for out-of-network coverage, please check your policy carefully and ask the following questions of your provider:
Do I have mental health benefits?
What is my deductible and has it been met?
How many mental health sessions per calendar year does my insurance plan cover?
How much does my plan cover for an out-of-network mental health provider?
How do I obtain reimbursement for therapy with an out-of-network provider?
What is the coverage amount per therapy session?
Is approval required from my primary care physician?
We accept cash, check and all major credit cards as forms of payment electronically and in-person. Payments for services are requested to be made with exact cash, check, or credit/debit card at the time of service. Clients are highly encouraged to manage payment methods online in the Client Portal.
Late & Cancellation Policies
If you are unable to attend a session, please make sure you cancel at least 24 hours beforehand. Otherwise, your account will be directly charged a $25 cancellation fee.
If you are more than 15 minutes late for a scheduled appointment, your appointment will be marked as no-showed and you will need to re-schedule the appointment. Your account will be directly charged a $25 cancellation fee.
Insurance Companies will not reimburse for no-showed/late cancelled appointments when services are not performed and Compass providers are rarely able to see other clients because of the scheduling delay so many resources are wasted. While we certainly can understand and empathize with unexpected nature of life in general, please consider other clients and try to make or reschedule ahead of time every appointment possible.
Billing & Insurance Policies
If you plan to use your insurance, authorization from the insurance company may be required before they will cover therapy service fees. Conversely, many insurance companies do not offer pre-authorizations for mental health services. Regardless, some claims are denied based on the patients information, plan coverage, and other factors after the services have already been performed by Compass Youth & Family. If you did not obtain authorization and it is required, you may be responsible for full payment of the service fees.
Many policies leave a percentage of the fee (which is called co-insurance) or a flat dollar amount (referred to as a co-payment) to be covered by the patient. Either amount is to be paid at the time of the visit by check or cash. In addition, some insurance companies also have a deductible, which is an out-of-pocket amount that must be paid by the patient before the insurance companies are willing to begin paying any amount for services. This will typically mean that you will be responsible to pay for initial sessions with us until your deductible has been met; the deductible amount may also need to be met at the start of each calendar year. We may also find out about your deductible after you begin therapy and your insurance company begins to respond to our claim submissions. Once we have all of the information about your insurance coverage, we will discuss what we can reasonably expect to accomplish with the benefits that are available and what will happen if coverage ends before you feel ready to end your sessions.
You are the responsible party for all balances. If claims are denied, the balance will be billed to you directly at the contracted rates dictated by your insurance company. Your co-payment/co-insurance amount may change as directed by your insurance company. You may also receive remaining balance invoices from Compass Youth & Family via email. These are generated once our office receives the responses from your insurance company and indicates what amounts they are paying for therapy and indicating your remaining responsibility (if any). These typically comes (2) weeks – (2) months after the service date and often in batches. Payment for these invoices is due in 30 days. We do not use a 3rd party billing or collection agencies. If your Client Due balance exceeds $250 for more than 30 days, we may have to refer you to a different provider. If your insurance fails to remit payment for services in a timely manner, we may have to refer you to a different provider. Compass is private practice mental health clinic with limited private funding.
Clients may manage their account with Compass Youth & Family in the Client Portal. The Client Portal allows you to pay invoices, print statements, and manage appointments online from desktop and mobile internet browsers. .
